Services

Bookkeeping and accounting support, done the steady way.

Every engagement is scoped in writing with one flat monthly price. Here is what each service includes, who it's for, and what you'll have in hand at the end of each month.

Monthly bookkeeping

The core service. Every month your transactions are pulled in, categorized correctly, and matched to the bank and credit card statements to the penny. You get books that are current, reconciled, and ready for whatever comes next: a loan application, a tax return, or a decision about hiring.

It runs on a fixed calendar. Statements close, I reconcile, reports go out by mid-month, and we talk if anything needs your call.

What's included

  • Bank, credit card, and loan accounts reconciled monthly
  • Transactions categorized to a clean chart of accounts
  • Bills and vendor balances tracked
  • Sales tax and payroll entries recorded
  • Monthly P&L and balance sheet with plain-English notes
  • A short list of open questions, never a wall of them

Catch-up & cleanup

Books that are months behind, a QuickBooks file nobody trusts, or a balance sheet with numbers that haven't moved since 2023. I've seen all of it, and none of it is a crisis. It's a project with a start, an end, and a flat price.

The work begins with a free review of what you have. You get a written quote before anything starts, and a clean, reconciled set of books when it ends, ready to hand to your CPA or to roll straight into a monthly plan.

What's included

  • Free review of your current file and statements
  • Flat written quote by the month or by the year
  • Duplicates, miscategorized items, and stale balances fixed
  • Every account reconciled through the end date
  • Summary of what was wrong and what changed

Invoicing & receivables

Getting paid is the half of bookkeeping most people skip. I spent years as an accounts receivable specialist, so this is the part I know best: invoices that go out on time and look professional, payments applied correctly, and overdue balances followed up on, politely and persistently.

You'll always know who owes you what, how old it is, and what's being done about it.

What's included

  • Invoices prepared and sent on your schedule
  • Payments applied and deposits matched
  • Courteous reminder sequence for overdue balances
  • Monthly aging report with recommended next steps
  • Online payment setup so clients can pay from the invoice

Nonprofit bookkeeping

Nonprofit books answer a harder question than "did we make money": did each dollar do what the donor or funder said it should? My day job is inside a Long Island nonprofit's finance team, so fund tracking, grant reporting, and Medicaid and contract billing are familiar ground, not a specialty I read about.

You get records that satisfy funders and auditors, and reports your board can follow without a finance degree.

What's included

  • Restricted and unrestricted funds tracked separately
  • Grant budgets vs. actuals, by program or funder
  • Donation and pledge recording, with acknowledgment support
  • Statement of activities and financial position each month
  • Board packet and finance-committee summary
  • Audit and Form 990 preparation support for your CPA

Reporting & month-end close

Numbers without a note are just numbers. Every month-end close comes with the three standard statements and a short, readable summary: what went up, what went down, what to watch, and whether anything needs a decision from you.

If you want more, say so. Job or program profitability, a cash-flow forecast, or a budget-to-actual comparison can be added to any plan.

Every month you receive

  • Profit & loss (or statement of activities)
  • Balance sheet (or statement of financial position)
  • Cash flow statement
  • Plain-English close notes and a watch list
  • Optional: budget vs. actual, job or program profitability, cash forecast

QuickBooks & Xero setup and training

A good setup prevents most bookkeeping problems before they happen. I'm certified in both QuickBooks Online and Xero, and I'll recommend the one that fits how your business actually runs, then build it cleanly: chart of accounts, bank feeds, invoicing templates, sales tax, and the apps that feed it.

If you'd rather do your own books and just want them set up right and a few hours of training, that's a perfectly good way to work with me.

What's included

  • Software recommendation and subscription set up in your name
  • Chart of accounts built for your industry
  • Bank feeds, rules, and opening balances
  • Invoice and payment setup
  • Training sessions for you or your office manager
  • Migration from spreadsheets or desktop software

Tax-ready books & tax preparation

Monthly clients arrive at tax season with nothing to scramble for: reconciled books, 1099s issued, and a year-end package ready for whoever prepares the return. I hold an IRS Preparer Tax Identification Number and can prepare individual and small-business returns directly, or hand a clean package to the CPA you already trust.

Either way, the goal is the same: a tax season that feels like a formality, because the work was done all year.

What's included

  • Year-end close and adjusting entries
  • 1099-NEC and 1099-MISC preparation and filing
  • Tax package for your CPA, or return preparation here
  • Quarterly estimated-tax reminders for owners
  • Sales tax filing support (New York State)
